Every project, every stage, every vendor in one workbook — so "which properties are waiting on the city?" takes ten seconds to answer, not a round of emails.
What It Does
Small development shops run 5–20 properties at once, each at a different stage, and the status usually lives in email threads, sticky notes, and someone's head. This workbook is the single master sheet: track each property from acquisition through permit issuance, with the vendors, escrow contingencies, loan draws, and task status attached to it.
It's the most comprehensive template in the set — built to replace expensive PM software for a team that just needs one accountable source of truth.
What's Inside
| Sheet | Tracks |
|---|---|
| Property List | Every property across acquisition, escrow, development, construction, and completion — your master view |
| Escrow tracking | Contingencies, inspections, and closing timelines for anything in escrow |
| Development process | A sequential checklist from planning through permit issuance, with status per task |
| Construction loan | Applications, approvals, and draw schedules per project |
| Vendor management | Dropdowns for architects, engineers, contractors, and consultants — set once, auto-populate everywhere |
| Status dashboard | Dropdown status: Submitted · In Review · Corrections Required · RTI (Ready to Issue) · Permit Issued |
How to Use It
- Load your vendors — add architects, engineers, contractors, and consultants to the dropdowns; they auto-populate across every project.
- Add property addresses — the Property List tab becomes your master tracking sheet.
- Move properties through the stages — Escrow → Development → Construction Loan → Permit Issued as each project progresses.
- Update status — set each task to Submitted, In Review, Corrections Required, RTI, or Completed.
- Review weekly — run your team meeting off this sheet: progress, bottlenecks, next steps.
A Worked Example
Situation: a small developer with 8 properties — 2 in escrow, 3 waiting on permits, 2 under construction, 1 in final inspections. The director asks: Which are waiting on the city? Who's our architect on Main Street? When can Oak Avenue start?
Open the workbook. In ten seconds:
- 3 properties show "Submitted — awaiting corrections" → the city is the bottleneck.
- Main Street architect = Smith & Associates → call them.
- Oak Avenue = RTI → construction can start next week.
Result: the director gets instant answers, the team knows the priorities, and the weekly two-hour "status update" meeting shrinks to a glance.
Who It's For
Development directors who need a portfolio view at a glance, project managers tracking tasks and vendors per property, small teams running 5–20 properties without paying for enterprise PM software, and funds standardizing tracking across a portfolio. It replaces scattered projects — email, sticky notes, tribal knowledge — with one place where status, consultants, and bottlenecks are always visible.
